FAQs: Photography & Filming at the Convention

Do I need consent to photograph attendees?


Yes. You must always obtain clear consent from any individual you wish to photograph. Respect personal boundaries and be mindful that not everyone may wish to be photographed.

Can I set up equipment like lights or backdrops?


You may bring equipment such as lights or backdrops, but it must not obstruct walkways, emergency exits, or disrupt the flow of the convention. Please ensure your setup does not interfere with other attendees or convention activities.

Please note: A dedicated photography studio area is available at the convention, complete with lighting, props, and backdrops provided for your use.

Am I allowed to photograph anywhere in the venue?


While the convention has exclusive use of the first floor, the venue remains a functioning hotel. Be considerate of hotel guests and staff when choosing locations and posing for photos. Avoid causing disruption or blocking access to public areas.

Is the convention responsible for my equipment?


No. Any photography gear or personal belongings brought to the convention are your responsibility. The convention cannot be held liable for any loss, damage, or theft of equipment.

Can I block out an area for a photo?


You may take photos in seating areas and other communal spaces, but your activity must not impact the movement or comfort of others. Do not block walkways, entrances, or essential access points, and always remain aware of the flow of foot traffic.

Can I take photos or film outside of the convention location?


Any photography or filming conducted outside of the designated convention space is entirely separate from the convention and is not the responsibility of the organisers. If you plan to photograph or film in public or hotel-adjacent areas, it is your responsibility to ensure you have the right to do so and that you comply with local rules, public access guidelines, and the privacy of the general public.
